The Accounts Juggler is a proposed role at Free Geek that could be a filled by a contractor.

Responsibilities would be to manage ongoing accounts with government agencies, vendors, and other business partners. There would be minimal regularly scheduled duties, but the cumulative amount of tasks associated with this job would pile up.

Right now, these duties are spread between various staff members, and all of them play second fiddle to the normal activities of current staff. Therefore, these tasks tend to get dropped, costing Free Geek money and efficiency.

Specific list of accounts that need oversight:

  • Insurance:
    • Liability
    • Vehicle
    • Board and Officers
    • Workers Comp
  • Benefits:
    • Payroll
    • Retirement plan
    • Health Care
  • Recycling Vendors
  • Tax form preparation and other forms to be filled with the state and the IRS

The accounts juggler would not need to set up these business relationships. Rather the job would be to be familiar with what paperwork needs to be filed, and follow up on problems related to the account.

We could have the person do a regular task in order to stay familiar with Free Geek's setup. For instance reconciling the books on a monthly basis, but current Free Geek staff would continue to do basic bookkeeping (data entry).

Example tasks for the accounts juggler:

  • A vendor doesn't provide an appropriate invoice or statement. (The accounts juggler would follow up until we got an appropriate statement.)
  • A change to our insurance plan is received in the mail. (The accounts juggler would read and understand the change and explain it to staff.)
  • Tax time is coming. (The accounts juggler would remember and make sure we are filing appropriate forms correctly and on time.)
  • Someone is hired. (The accounts juggler would make sure they are added to health care and retirement plans, etc.)
  • Someone quits. (The accounts juggler would make sure they are dropped health care and retirement plans, etc.)

Some of these jobs may be simple enough and routine enough that current staff members continue to do them. But the accounts juggler would take care of the less frequently recurring tasks and the oddball things that come up.

Current ballpark number of hours suggested by various staff members range from 10 to 20 hours per week for this job. We expect we need to talk to someone who already is doing this kind of work to get a reasonable number of hours and rate.
