* Warn volunteers to leave 15 minutes before closing.

Turn off any fans that have been left on anywhere in the building.

Fifteen minutes before shutdown:

Miscellaneous items to check:

*Volunteer chairs should be off sidewalk
* Go through each room and announce that we'll be closing in fifteen minutes.

*Bring in smokers' oasis
* Tell each volunteer to come to a good stopping point, and to get their hours recorded at the front desk.

*Hard drives in Laptops & Macland
* Selectively turn out lights to show that we are, in fact, about to close.
 
* Check any door that is supposed to be locked all the time. Make sure that they are locked.
 
* Turn off all computers not in use.
 
* For double doors, latch the door that doesn't have a lock on it.
 
 
 
At shutdown:
 
 
 
* Bring a flashlight and your keys.
 
* Go through each room and tell stragglers to leave.
 
* Turn out lights.
 
* Check every door, including the ones you just checked.
 
* Turn off all computers not in use.
 
* Lock all doors.
 
 
 
Here's a good order to proceed through the building:
 
 
 
# Page everyone over the phone system that you're closing, and that anyone still in the building should make themselves known.
 
# [[Receiving]]. Latch and lock the external double doors.
 
# Look down the hall towards Advanced Test.
 
# Switch off the lights (by the door into [[Reception]]).
 
# Proceed through Receiving, turning off any devices that might be on.
 
# Proceed through Basic Testing, turning off computers.
 
# In [[System Evaluation]]:
 
#* Turn off each of the test stations (use the power strips).
 
#* Turn off the lights, look for the RED wall switches.
 
# Proceed thru the [[Warehouse]] door and make an immediate right turn. Look down each aisle as you walk towards the windows.
 
# Switch off the lights over the System Keeper shelves at the switch on the south wall, about 10 feet from the east windows.
 
# Go to the northeast door marked Emergency Exit. It will not sound an alarm.  Go through it to the external door.
 
# Make sure this external door can be opened by pushing on the paddle, then make sure it is closed and latched.
 
# Then check the internal door. It should be closed and latched.
 
# Switch off the warehouse lights at the light switch behind the "Recycler Checkin" area, next to the electrical panel on the north wall (near northeast corner).
 
# Proceed thru the [[Recycling]] area. Turn off the radio. Turn off any fans. 
 
# Check the rollup door, it should be locked by a slider on the right side. The slider should have an S-hook threaded through it.
 
# Go outside through the smaller door and check the truck doors. The tailgate should be padlocked and both cab doors should be locked. Go back inside and lock the building door.
 
# Turn off all monitors in the Monitor Test area. If it is the night before a weekend or holiday, turn off the 3 monitor test computers.
 
# Proceed into Printer Island.  Turn off any printers, work lamps, and the radio.
 
# Proceed back to the System Evaluation area, locking the warehouse door behind you.
 
# Turn left and go to the Janitor Supply Room. Turn off lights there, and turn off lights/fan in the adjacent bathroom.
 
# Proceed towards [[Advanced Test]] (away from the front of the building).
 
# Close and latch door to the Mezzanine/Tree House (stairs on your right).
 
# Check the Tardis door and the Online Sales door inside the Tardis. Both should be locked.
 
# In Advanced Testing:
 
#* Check to see if Hard Drive tests are underway. (Check all hard drive testers, checking all channels on the switch while looking at the monitor.)
 
#* If not, turn off the computers.
 
#* If Hard Drive tests are underway, leave the computers on, but turn off the monitors.
 
#* Turn off the lights. The switch is on the wall across the doorway that leads into the Build room.
 
# Proceed into the Build area:
 
#* Turn off computer terminals, all monitors and speakers, and printer. (Check for written instructions for exceptions before doing this.)
 
#* Turn off switch on west side of South wall.
 
#* Unplug speaker power supplies/bricks.
 
# Exit Build toward the Mac area, turning off Build lights (to the left of the door as you exit).
 
# Turn off the lights in Mac, then exit the Mac area into the Classroom/Laptops area.
 
# Turn off the printer just outside the Classroom.
 
# Go into the Classroom and make sure all of the computers are shut down. 
 
# Turn off the Classroom lights (to the right of the door as you exit).
 
# Go into the Laptops area and make sure all lamps are turned off and laptops are stowed away (except those being tested on shelves).
 
# Head back towards the printer outside the classroom and turn off the light switch there (it's for Laptops).
 
# Head into the Library/Internet room (south), then turn right and proceed into the kitchen.
 
# Make sure that all kitchen appliances are turned off (except the dishwasher).
 
# Head back towards the 2 restrooms. Switch off lights and fans.
 
# Make sure the the rollup door next to the stairway is secured.
 
# Head up the stairs into the big office and make sure that the lights are turned off as you head towards the Escape Hatch (light switch is on the left as you exit the doorway).
 
# Go into the Escape Hatch and make sure that the safe is locked up and the hatch door (up to the left on the far wall) is secured.
 
# Turn off the desk light in the Escape Hatch. The light on the very high ceiling is controlled by a switch in another room (the Wine Cellar).
 
# Lock the deadbolt as you exit the Escape Hatch.
 
# Proceed into the Wine Cellar and turn off the light as you head down the stairs and back to the Library/Internet Room.
 
# Make sure all computers are shut down, including the library desk.  Turn off the printer at the library desk.
 
# Turn off the light switch for the Library near the door towards the Monkeyhouse (on your right as you exit).
 
# Go into the Monkeyhouse and make sure all computers, monitors and the printer are shut down.
 
# Turn off the Monkeyhouse lights as you exit and make sure the door is locked behind you.
 
# Head into the store through the door across the hall, but keep going right through the store, through the storage area near the store counter, and proceed back to the Reception area.
 
# Shut down computers, monitors & printers at both Volunteer and Donation desks.
 
# Latch and lock front door by the donation and volunteer desks.
 
# Turn off lights to Reception and offices (next to front door).
 
# Head down the hall checking doors to Tech Support, A/V and the Mac Tank. Make sure they're all locked. If you see light inside those rooms, turn the lights off.
 
# Turn off the lights & fan in the fancy bathroom.
 
# Check the small kitchen. Make sure that appliances (e.g. coffee) are unplugged in the kitchen and turn off the lights.
 
# Proceed into the Thrift Store via their storage room.  Lock that door behind you.
 
# Shut down computers, monitors and printer in the thrift store, and head towards the external double doors.
 
# Make sure the doors are locked and latched, then turn off the lights to the right of the doors.
 
# Exit the store via the door that's near the meeting room.
 
# The doorknob should be locked behind you.  Make sure the deadbolt is locked as well.
 
# Check the Meeting Room and unplug, shutdown, or turn off stuff as necessary.
 
# Put away flashlight and checklist.
 
# Page again that you're about to set the alarm.
 
# Make sure you've gathered your belongings and are ready to leave.
 
# Sign out on the clipboard by the alarm pad (put a Y to indicate that you set the alarm).
 
# Make sure the door by the meeting room is shut. Set the alarm.
 
# You have 30 seconds to turn off the last set of lights by the door, then make sure the door is shut behind you.

Standard staff closing considerations/tasks

Tasks:

  • Collect tills (donor desk and store) and lost and found items and store securely in Escape Hatch
  • Remove open food from kitchen, fill and run dishwasher (if not previously handled by volunteers/staff)
  • Turn off all monitors (except servers)
  • Ensure no one is hiding in bathrooms
  • Keep an eye out for loose hard drives (esp. laptops) and dishes (esp. w/ food) in random places

Door locks to check:

  • All external doors (Warehouse x3, Receiving, Donor Desk, Store, bike room)
  • Internal doors: Mezzanine, servers x2, store x2, laptops x3, warehouse, tech support

Lights to turn/leave on (all others go off):

  • Light by volunteer desk (on the wall), light in Macland, lights in the cage

Closing for Meetings:

  1. When your members arrive, make sure they know where the restrooms and kitchen are. Ask them only to use those areas and the meeting room.
  2. When you're ready to leave, make sure everyone else is out of the building before.
  3. If Free Geek staff or cleaning crew are still in the building, let them know that you're leaving and skip the steps below.
  4. Turn off lights & fans in restrooms.
  5. Turn off lights in Library / Internet room (just outside kitchen).
  6. Make sure external door near alarm pad is closed.
  7. Arm the alarm by puching in your code. You now have 30 secs to make sure the door is closed behind you (plenty of time).
  8. Turn off the lights in hall on your way out (left side of hall).
  9. Exit the door and make sure it latches behind you.
