Meet and greet

Free Geek is comprised of and operated by 90 to 95% volunteers. These folks keep our doors open and need our assistance and attention. They enter our doors, take a tour, sign up for Build or Adoption (where they eventually receive a free computer) and then get scheduled to start their chosen program. Some become volunteers because they don't need or want a computer or are doing community service or school credit. Presently, we do not do follow-up contacts with them while they're in the building. The Meet and Greet program is designed to follow-up and make each "new" volunteer feel welcome and want to come back as "happy campers". The meet and greeter should arrive about 15 minutes before doors open and check in with volunteers outside, finding those on their first day. Once this is done this person shall perform the following for all new (first day on the job) volunteers:

  • Introduce yourself
    • about 4 or 5 minutes before the doors open go outside and find out who is here for the first time.
    • introduce your self (Hello, my name is Kathie) and let them know you'll get them started today
    • be positive and upbeat in welcoming them to our program/s
  • show them the important places they'll need to know
    • cafeteria
      • explain use of two refrigerators- they use one marked for "volunteers fridge, mark their items and use the honor system.
      • point to and explain the free box under food table
      • explain about the table of (free!) food
    • point out where all 4 bathrooms are located
    • introduce them to kitchen, volunteer refrigater and library. Included how to check out books by using the borrow book at front desk.
      • explain coffee and cups usage
      • explain coffee system- pot kept at front desk. volunteers can use any of the clean cups or bring their own.
      • show them the first aid kit and fire extinguisher, explaining usage of both. Remind them to contact a staff member if they are injured at all, so an accident report can be filed - EVEN IF THEY THINK IT'S A MINOR INJURY.
  • remind them on howto check in/out and schedule for their program. Remind (encourage) "community service folks" that they can join the program after their service is complete and get their own computer.
  • take them to their assigned area and personally introduce them to the staff/intern/volunteer covering that area.
  • check back with them in approximately an hour and see how they are doing.
  • remind them that you are there to help, if the person in charge isn't available. Usually, only one follow-up visit is needed.


Schedule

Presently meet and Greet covers mornings only. See schedule below:

  • Tuesdays, Fridays and Saturdays covered by Kathie at 11am
  • check borrow book once every 2 weeks- call to check on status of books out over a month
  • check supplies once a week-notify Liane if any restocking is needed.
  • check and replace labels as needed using (deadtrees-labels) page on wiki
  • check donorsresources.org web page for computer items or other items that we need and claim them. We have an account with this organization to allow us "claiming items" rights. the account is under kann@freegeek.org and pw is pwe3-02c5-20

Kathie's Goals

use Ubuntu for non-geeks books to improve linux skills and work with Inreach on Library items. Attend and contribute to all inreach committee meetings. Get miscellaneous items complete that are on my "to do list".

To Do List

  • write a howto procedure for checking out books. C/O
  • research the circulation" system more and add procedures to wiki. See Kathie 2-problem with bar code
  • create a "howto" search for a book sheet and post on wall by calendar. IP

Kathie's Daily Activities

  • check all labels stock and print what is needed (10:30-10:45)
    • system evaluation
    • laptop
    • advanced testing
  • complete meet and greet activities (done between 10:45 and 10:55am)
  • back-up front desk at 11am and cover intern breaks as needed
  • check books donated basket in receiving and bring any donations back to the library
    • look for manuals for our Museum items and place them next to item.
  • check regular supplies and adoption supplies.
    • Notify Liane of reg supply needs and stock classroom as needed.
    • notify Sergio when re-ordering of labels is needed.
    • restock first aid kits as needed from supplies in cabinet.
      • first aid locations are in: recycling, cleaning supplies shelf and in small kitchen-big box on wall.
  • look for any safety hazards, when walking through the building and correct as needed.
    • remove objects on floor in pathways, such rubber bands, papers and others.
    • close all box lids that are extending out into a pathway
    • get poorly stacked boxs re-stacked. i.e. those that are leaning towers
    • look for any obstruction/s on stairs-remove as needed.
  • Complete Librarian duties-see Library wiki for details
  • help check, clean and restocking of main supply area.
  • help coordinate volunteer/s in re-organizing pantry. This needs to be done again, soon.
  • keep library wiki information current
  • help office coordinator in organizing and re-organizing supplies area and kitchen pantry.
  • schedule and coordinate Librarian assistant (usually an adopter) to do duties as needed.
  • misc. duties as needed.
